How do I calculate the cost of a manual process?

Multiply the transactions a month by the minutes each takes, and by the loaded hourly cost of the people doing it. Then add the time spent fixing mistakes, and what the mistakes that reach customers cost you.

What is a loaded hourly cost?

Salary plus what surrounds it (PF, leave, a desk, a laptop), divided by working hours. The calculator uses a 30% overhead and 2,208 working hours a year, and you can change both.

When is it worth replacing a spreadsheet with an app?

When the app pays for itself within a year or two: the saving in time and errors, less its running cost, covers the build. Beyond three years, a tidier spreadsheet is usually the better answer.

What should an app automate first?

The one step that takes the most time or causes the most errors. A small first version that removes it pays back faster than one that tries to rebuild the whole process.

Can I reduce spreadsheet errors without an app?

Yes: drop-down lists, required fields, a check on totals, one template and one owner. They cost nothing and often remove the worst errors.
