What should an AI usage policy for employees include?

Which tools are approved, what information must never be entered, that people check what AI produces, how accounts are secured, rules for meeting note-takers, code and copyright, security risks such as prompt injection and deepfakes, what to do after a mistake, training, an owner, and an acknowledgement. This generator drafts each of those.

Can employees use free AI chat tools for work?

Only with information that is already public, if at all. Free and personal versions may store what is entered and use it for training, and the company has no contract or control. Business versions with training turned off and company sign-in are the safer default.

Does the DPDP Act apply to using AI tools?

Yes, when personal data is entered. The organisation stays responsible for it, and a provider processing it on the organisation's behalf is a Data Processor that may do so only under a valid contract (section 8 of the DPDP Act, 2023).

Is this policy legal advice?

No. It is a draft built from your answers and common practice, to adapt to your organisation. Have the employment and regulatory wording checked before you issue it.
